Thank You Email After Phone Interview Template (UK 2026)

Alex By Alex · 12-year UK recruiter · Updated April 2026

Why this matters

Phone interviews are often the first filter — the hiring manager or recruiter is deciding whether to move you to an in-person round. A well-crafted thank you email reduces friction in that decision and surfaces details that may not have come across on the phone. UK recruiters often pass thank you emails to hiring managers as part of the scorecard.

Email template

Subject: Thank you — [Your name] — [Role title]

Dear [Interviewer's name],

Thank you for the call earlier today about the [Role title] position. I appreciated learning more about [specific topic discussed — usually the team, the immediate priorities, or the role context].

The role aligns well with my experience in [one specific area where you have relevant experience]. I'm keen to learn more in a follow-up conversation, and I'll be available [give two or three time windows over the next week].

Best regards,
[Your name]
[Phone number]

Replace bracketed text [like this] with your details. Keep the tone — that's what does the work.

Step-by-step

  1. 1 Send within 24 hours of the call
  2. 2 Keep length to 80-100 words — phone calls warrant shorter follow-ups
  3. 3 Reference one specific topic from the call, not generic thanks
  4. 4 Confirm interest in the next stage explicitly
  5. 5 Offer two or three concrete time windows for the next conversation
  6. 6 Address it to the person who called you, not HR generally

Common mistakes

  • Treating the phone interview as casual and skipping the email entirely
  • Sending the same length email as you would after an in-person — feels disproportionate
  • Not confirming next-stage availability — leaves logistics for the recruiter to chase
  • Re-pitching your CV — they spent 30 minutes on the call and have it

Recruiter pro tip

If the phone interview was with a recruiter rather than the hiring manager, your goal is different. With recruiters, the email is also building relationship — they may bring you back for other roles even if this one doesn't progress. Mention you'd value being kept in mind for similar roles. Most candidates miss this, and recruiters remember the ones who don't.
