Email Declining Job Offer Template (UK 2026)
Why this matters
Decline emails are one of the most under-thought parts of the process. Candidates think they're closing a door so the email doesn't matter — but UK sectors are small. The hiring manager you decline today may run a different team in 18 months that you'd love to work for. The recruiter you decline today may move to your dream company. Decline emails are relationship maintenance, not closure.
Email template
Subject: [Role title] — my decision Dear [Hiring manager's name], Thank you very much for the offer for the [Role title] position. I've thought about it carefully, and after considering my circumstances I've decided not to proceed at this time. [One sentence — choose one or write your own]: [Reason A]: I've accepted another opportunity that aligns more closely with my immediate plans. [Reason B]: After reflection, I've decided to stay in my current role for now. [Reason C]: The timing isn't quite right for me to make a move at the moment. I genuinely appreciated the conversations and the opportunity to learn about [Company name] and the team. I hope our paths cross again, and I'd be glad to stay in touch. Best regards, [Your name]
Replace bracketed text [like this] with your details. Keep the tone — that's what does the work.
Step-by-step
- 1 Decline as soon as you've decided — don't drag this out
- 2 Address it to the hiring manager and copy the recruiter who managed the process
- 3 Keep it short — 100 words is plenty
- 4 Give a brief honest reason or a generic one — both are acceptable
- 5 Express genuine appreciation for the time invested
- 6 Leave the door open if you'd like future contact
- 7 Don't burn bridges, even if the experience was poor
Common mistakes
- ✗Going silent after the offer — leaves the company chasing and damages your reputation
- ✗Listing all the negative reasons you're declining — unnecessary and unprofessional
- ✗Comparing the offer unfavourably to your accepted role — feels punitive
- ✗Not thanking the recruiter who brokered the process — they remember slights
- ✗Declining vaguely and leaving room for renegotiation if you don't want it
Recruiter pro tip
If you're declining because the salary fell short and you'd reconsider for the right number, frame it differently — that's a negotiation, not a decline. If the salary gap is too wide for negotiation to fix, decline cleanly. The candidates who hint at wanting renegotiation while saying no usually end up looking unsure rather than principled.
