Short Employment Reference Letter Template (UK 2026)

Alex By Alex · 12-year UK recruiter · Updated April 2026

Why this matters

Most UK employers now issue 'fact-only' references through HR rather than detailed personal references from managers. This protects the company from defamation and inflated-reference claims but limits how much candidates can rely on it. Candidates whose former employers default to short references usually need to source a separate detailed reference from a willing manager in their personal capacity.

[On company letterhead]

[Date]

To whom it may concern,

[Candidate name] was employed by [Company name] as [Job title] from [start date] to [end date]. They reported to [Manager name and role] within the [Department/team].

[Optional: Their final salary was £[amount] per annum.]

[Optional: They left the company in [good standing / their own time] / following [a redundancy process / a restructure].]

Should you require any further information, please direct enquiries to [HR contact name and email]. We are unable to provide further detail beyond the above due to company policy on employment references.

Yours faithfully,
[HR representative name]
[HR Director / HR Business Partner]
[Company name]
[Email]

Replace bracketed text [like this] with the writer's and candidate's details. Keep concrete examples concrete.

Step-by-step

  1. 1 Confirm employment dates, role title, and reporting line
  2. 2 Optionally include salary and reason for leaving if disclosure is permitted
  3. 3 State explicitly that no further detail will be provided — clarifies the limit
  4. 4 Issue from HR rather than the line manager
  5. 5 Use company letterhead
  6. 6 Keep total length 50-100 words
  7. 7 Provide a single HR contact for further enquiries

Common mistakes

  • Asking the line manager for a detailed reference when company policy is fact-only — puts the manager at risk
  • Inflating beyond the policy — creates legal exposure for the company and the writer
  • Omitting employment dates — the most basic fact recruiters verify
  • Stating reason for leaving without checking the candidate consents
  • Forgetting to specify the policy limit — the recipient may chase for more

Recruiter pro tip

If your former employer's policy is fact-only references, ask one of your former managers if they would write a separate detailed reference in their personal capacity (on personal email or LinkedIn) for specific opportunities. Most managers will agree if asked specifically. The combination of a fact-only company reference plus a personal manager reference is now the UK standard for senior candidates.
