UK candidates who write emotional or critical resignation letters often regret it years later — references get checked, networks are small, and the tone of departure shapes how former colleagues talk about you. The candidates who exit well almost always wrote short, neutral, professional letters.

Step-by-step

  1. 1 Check your contract for the exact notice period — usually 1-3 months for permanent UK roles
  2. 2 Calculate your last working day from the date you submit the letter
  3. 3 Address it to your direct line manager (not their boss, unless instructed)
  4. 4 Keep the letter under 200 words — short is professional, long invites questions
  5. 5 Don't include your reason for leaving unless asked — neutral is safer
  6. 6 Submit in person if possible, then send the written letter as confirmation

Common mistakes

  • Writing a long letter explaining grievances — keep it neutral, save grievances for the exit interview
  • Calculating notice from the wrong date — notice runs from the day the letter is received, not signed
  • Resigning verbally without follow-up in writing — always confirm in writing same day
  • Naming your new employer in the letter — not required and creates awkward conversations
  • Promising specific handover commitments you can't deliver in the notice window

Recruiter pro tip

If you're worried about being walked out the same day (common in finance, sales, competitive sectors), have your personal belongings already cleared and your personal devices logged out before you submit the letter. UK employers are allowed to put you on garden leave immediately even with a long notice period — assume this could happen and prepare accordingly.
